Administrative Assistant (3334)

GENERAL FUNCTION:
Provide administrative support to division staff.
RESPONSIBILITIES and DUTIES
Prepare correspondences, including reports, and distribute via e-mail, fax, mail, overnight shipping, etc.
Direct telephone calls and messages, make copies, distribute mail and order supplies
Responsible for the operation and maintenance of office equipment and provide computer training and assistance to division staff as needed
Maintain general files and records
Responsible for various financial duties for the division including processing of invoices, preparation of purchase orders, monthly closing and other financial duties as assigned
Coordinate and schedule division activities including, but not limited to, employee meetings, community events and other division public-relation initiatives
Responsible for providing back up to the field supervisors by scheduling work orders, customer inquiries, field locates, etc. as needed.
Point of contact for regional operators for Customer notes and updates.
All other duties required
Required Experience
High school graduate or GED equivalent.
Excellent typing and computer skills including proficiency in word processing, spreadsheet, database and e-mail applications
Must demonstrate ability to organize and complete multiple activities simultaneously
Self-starter who can operate with little or no direct supervision
Must have the personality, articulation (both oral and written) and characteristics necessary to communicate effectively with customers, all levels of management, employees, regulatory agencies, government officials and vendors
At least three years' experience in a responsible administrative position; bookkeeping, accounting experience or training a plus.



Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
